Keep one record for each site
Start with a consistent site name and a folder for its documents, photographs and updates. Use the same names in your project notes so that office and site teams can find the right information.
Record the work as it happens
A useful log records the date, task, person responsible and observations. Teams can organise feeding, stocking, equipment checks and harvest records in separate sheets, using units and labels everyone understands.
Make photographs useful
Add a caption with the site, date and what the photograph shows when that information is known. Keep the original image. A photograph without context should be treated as an archive image rather than evidence of a dated project milestone.
Choose a practical way to share
A shared spreadsheet or document folder can help an office and site team work from the same records. Agree who can edit, who reviews entries and how the team works when internet access is limited. Protect personal information and retain backups.
Connect records to follow-up
End each update with the next action and the person responsible. Ask the project team which records it needs before choosing software or buying a subscription.
